Why Use a Travel Advisor for Your Destination Wedding?

You got engaged, said “let’s do it on a beach,” and everybody cheered. Then the questions started. Which resort? How many rooms? Who’s flying from where? Does Aunt Becky even have a passport? (She does not.)

A destination wedding is a group trip with a wedding in the middle of it, and the group trip part is where couples get buried. That’s exactly what a travel advisor is for, and it’s the part I handle.

What I actually do for your destination wedding

Help you pick the resort. I narrow down the options based on your guest count, budget, vibe, and who’s coming. I look beyond whether a resort photographs well and consider the things that actually matter for a group: room options, location, dining, activities, wedding offerings, and how realistic the overall cost will be for your guests. I’ll also tell you straight if your budget and your vision don’t match, before the save-the-dates go out.

Set up the room block and guest bookings. Once we’ve chosen the resort, I handle setting up the group and managing the travel side of the room block. Your guests book through me, submit their traveler information and required forms, and receive their payment deadlines and travel details directly from me. I keep track of who’s booked, what’s due, and what still needs attention, so you’re not trying to manage a spreadsheet for 40 people while planning a wedding.

Answer your guests’ questions so you don’t have to. Passports, flights, insurance, the resort dress code, whether there are gluten-free options: they call me. I offer travel insurance to every guest, so nobody comes to you later asking why their trip isn’t refundable.

Handle problems during the trip. When cousin Eddy doesn’t like his room, he calls me, not you. Missed flights, mixed-up transfers, and rooms that aren’t what was booked are my job that week. Yours is getting married.

Do I still need a wedding planner?

Depends on how much you want handed off. Every resort wedding comes with an onsite coordinator who runs the ceremony, décor and day-of details at the resort. How much I take on depends on your package. At minimum, I handle resort selection, your room block, and everyone’s travel. Want more? I’ll help with offsite vendors, review contracts, track your budget, and build your timeline. With VIP, I’m on-site with you, managing guests and vendors and working alongside the resort’s coordinator, so you’re not the one fielding questions all week.

When should I reach out?

Before you pick the resort, and ideally before you announce the date. Resorts hold wedding dates and room blocks, and popular dates go early. Preferably 12–18 months out. Bringing me in after you’ve signed with a resort still works. It just takes some options off the table.

What to have ready for our first call

• Rough guest count, and whether anyone is under 18

• Destination or resort ideas, even vague ones (“somewhere in Mexico, not Cancún”)

• Where most guests are flying from

• Your budget, both for you and for what you expect guests to spend

• Other events you want: welcome party, rehearsal dinner, bachelorette, farewell brunch
